IMPORTANT – PPCA LICENSES & PUBLIC LIABILITY INSURANCE

A PPCA license is required by an operator for the public broadcast of all music. A professional operator will have this license, which covers the collection and distribution of royalties to the performers. Operators not holding a PPCA license will be subject to heavy fines and may have their equipment turned off during a function – this could be yours! Ask your operator to quote their license number or for further information contact the PPCA on 02 9267 7996

It is important that your operator is covered for Public Liability Insurance. Many venues demand that a minimum cover of $5 million is held. At Black Tie Events we hold $10million cover. Ask to see the cover note from your DJ.

Introduce flexibility to our standard packages. With our “Plus” packages you get a Master of Ceremonies AND a Black Tie Disc Jockey. This combination is especially useful where the venue has no in-house audio system, awkwardly shaped rooms, visual obstructions or the dance floor or stage is not in a central point.

The additional benefits are:

  • Individual introduction of guests if required.
  • Musical cues for the introduction of Special Guests.
  • Musical cues for speeches.
  • Co-ordinate proceedings in the case of visual obstructions, off-centre dance floors and / or awkwardly shaped rooms.

Large Functions

Our 600-watt system is more than adequate for the majority of wedding receptions of up to 250 people. Functions over this number may require your consideration of upgrading to a 1200-watt system. Please see the appendix for recommendations.

How Does It Work?

We aim to produce a smooth flowing, interactive event and at the same time maintaining the enthusiasm of the delegates. We do not use monitors, TV screens or other fallible gadgetry.

The show follows a format of several categorised question rounds with full audio production. Categories range from General Knowledge to visual and / or audio only rounds.

Our Trivia Quiz Shows are based on many years of development. We are successful because we maintain the interest of delegates and allow them to be self-entertaining. The Trivia Quiz Show is ideal for all age ranges.

As an option, and with prior consultation with the corporate trainer, a round of questions based on the course or company content can be incorporated. In between rounds, the Quizmaster encourages risk taking, gambling, singing and dancing and participation by all.

It does not stop there … with the larger mixed groups let the entertainment continue with suitable music. Delegates will continue their team building in a relaxed manner!

If the event includes a sit down meal, as part of our service, we will also play appropriate dinner music at a level suitable to the client’s needs. The Trivia Quiz Show would then normally start towards the conclusion of the main course and can last for approximately 3 to 4 hours including an hour or so of dancing after the show. Teams / Tables of 8 or 10 are ideal preferably in a private room or area.

How Do I Choose?

We need to know approximate numbers in order to determine the number of Black Tie Events Australia personnel required. The number of delegates should be converted into the number of teams that will be present. Teams are made up of 8 or 10 people.

If you are planning to involve the Trivia into the morning or afternoon of a conference and you have to move on after the Trivia, then the Club Option is for you!

You will need to determine if you would like to continue after the Trivia with some dancing. If your numbers have a healthy mix of male and female this is a great option and our Corporate or Premium Option is for you!

Done enough organising for the conference? Do you want to provide officials and / or prizes? If you would like all of the work taken off your hands then our Premium Option is for you!

What Do I Need To Provide?

Apart from the venue and the meal (if you are having one), you will need to provide:

Please note: The Fundraising Option is tailored to allow the smallest of parties to afford to participate – on a ‘Dollar per Head’ basis there is a no risk situation for the organisers. All we need to know is the approximate numbers at least 2 weeks before. This will form the minimum numbers. Our minimum charge will be based on SIXTY guests.

Quality Services for Corporate & Private Functions

Special effects and services outlined in the packages are as follows:

Master Of Ceremonies – to allow your function to be run in a professional manner we offer an MC who will co-ordinate your function from a central point. Our standard Black Tie M.C. package offers a combination (single person) MC and DJ. Our Awards Night package includes two people at your function, a Master Of Ceremonies, and a Black Tie DJ. This gives you the additional benefits of:

  • Individual introduction of guests if required.
  • Musical cues for the introduction of the special guests.
  • Musical cues for speeches / awards.
  • Enable the MC to host the evening from a central point and co-ordinate with the venue.

Dry Ice – Use this special effect as an entrance to a “Themed Dinner Dance” or a Murder Mystery Dinner. Alternatively at an engagement, the newly engaged couple make their way onto the dance floor for their “Special Dance” as the Dry Ice is filtered out at ground level for the duration of the song. Benefits include a photographic opportunity and the concealment of your feet! This is usually very popular with the men! For Function Centres where Dry Ice is not advisable, we offer Scented Smoke. Depending on the dance floor surface, dry ice can produce a thin moisture film. We will notify guests of this in our welcome address. We would advise that the Dry Ice be used either on entry or after entrée so that we have the opportunity to prepare the area for normal dancing. For maximum photographic opportunities and effect, we suggest that the least number of people disturb the dry ice.

Celebration Cannons (for corporate / private celebrations) – An additional feature for your function are cannons filled with colourful large pieces of “flutter” (25mm x 50mm) together with a variety of additional filler. We will attempt to provide your corporate / company colours if required. Please note that black is not readily available. Use the cannons to highlight that top award, launch a new product, see in the New Year, or simply shower your guests on the dance floor. Please check with your venue if they approve of the use of the cannons.

Pyrotechnics – With a dramatic increase in insurance costs, the use of pyrotechnics has been discontinued until further notice.

Special FX Lighting – Our lights give an effect of pastel rays shining down on the dance floor. Some lights include a variety of designs. Lighting is very effective when the pastel colours beam through the white Dry Ice. Lighting will create a fantastic atmosphere for the rest of the evening as guests’ dance the night away. Our lighting is subtle, does not flash inn the eyes of your guests and will create a designated dancing area. Very appropriate for weddings and Dinner Dances which we do not treat as “discos”.

Cake Cutting Ceremony for Weddings (optional)– many people do not know the main reason why the Bride and Groom cut the cake. Its tradition stems back to ancient times. We will guide you through the ceremony whilst informing the guests of history and tradition. We can adapt the ceremony to suit your own personal circumstances and we even provide you with a commemorative script.

“Plus Packages” – Introduce flexibility to our standard packages. With our “Plus” packages you get a Master of Ceremonies AND a Black Tie Disc Jockey. This combination is especially useful where the venue has no in-house audio system, awkwardly shaped rooms, visual obstructions or the dance floor or stage is not in a central point. Additional benefits are outlined in our “Supplementary Information”

Extra Hours – you may request the Compere/MC to extend beyond the times specified in the packages at an additional cost of $66.00 ($60.00 + $6.00 GST) per hour or part thereof until 0100hrs and then at $132.00 ($120.00 + $12.00 GST) per hour or part thereof. Your venue must agree to the extension. Payment must be made in cash before the extension begins.

Music Request Cards – We aim to satisfy the music requirements of your guests. As long as their choice is appropriate to your function, we will endeavour to play the songs that are requested. We encourage early return of the requests to enable us to “bracket” the styles of request.

Lettergram Cards – We provide these for weddings and we always seek your permission for guests to fill them in. We will of course collect the cards and pass them to the person designated to “censor” and read them out.

GST – GST is payable at the rate current on the date of your function.

Credit Cards: – To avoid higher prices we do not accept payments by credit cards except for payment of a deposit.
